Most marketing teams commissioning event video for the first time discover that the range of quotes they receive is enormous. The same one-day corporate conference in Barcelona can be quoted at €1,800 by a freelance operator and €14,000 by an established production company. The gap is entirely in what is included, and what the client will actually receive at the end.
This article is a plain-English breakdown of the line items that make up a corporate event video budget in Spain, what each of them does for the final deliverable, and where the real cost drivers sit.
Crew: the biggest driver
Crew is typically 40–55% of a corporate event video budget. A minimum viable crew for a one-day conference is one camera operator plus one editor working part-time in post. A crew that will produce reliable multi-camera coverage of a keynote, panel content, sponsor thanks and B-roll on the floor is closer to two operators, a sound engineer for wireless mics on stage, and a dedicated producer coordinating the day.
Rates in Spain for experienced corporate operators sit around €500–€800 per day for camera, €400–€600 for sound, and €700–€1,200 for a producer/director. These are day rates for professionals with liability insurance, invoicing entities and event experience.
Kit and technical
Kit is 15–25% of the budget. For a corporate conference: two large-sensor cameras with fast zoom lenses, two wireless lav systems, a shotgun for ambient, a small LED panel for stand-ups, an audio recorder as backup, media and batteries for a full day, and a hard case per operator.
If the venue provides a program feed (from the AV company running the screens on stage), the crew captures that as a clean angle — but the AV company will invoice for the feed and often for the technician who patches it.
Edit and delivery
Edit is 20–30% of the budget and often underestimated. A one-minute event recap with music, subtitles and colour is typically 8–12 hours of editorial time, plus a round of client revisions. A full session edit of a 45-minute keynote with graphics, lower thirds and multi-camera cutting is closer to 6–10 hours per finished session.
Delivery costs include export in the required formats (16:9, 9:16, 1:1), subtitles in each language, thumbnail selection and final upload to the client's platform of choice.
What drives the price up or down
Number of cameras, number of stages running in parallel, whether you need same-day social edits, whether you need multilingual subtitles, and whether the edit must be turned around in 48 hours vs. two weeks. All of these are legitimate levers — but they should be explicit in the quote.
A realistic reference range
A one-day corporate conference in Barcelona or Madrid with two-camera coverage, wireless audio, a one-minute recap and a full session edit typically lands between €4,500 and €8,500 net. Below that range you are usually paying for one operator and a rushed edit; above it you are paying for a live gallery, multiple stages or a same-day social package.
